Position: Office Administrator
Work with Finance + HR stakeholders to create and adhere to policies and processes related to admin, travel and EA tasks for the whole organization
Collecting, maintaining & submitting bills & invoices and upload to hrms tool
Managing organizational level travel desk
Coordinating with department heads / management / employees to determine their domestic/international travel needs, planning their end to end itinerary which includes the mode of transportation, travel dates, cost and accommodation and any other services as mentioned in the inhouse travel policy
This travel may include work trips for an individual employee or at a team level – across different verticals – from freshers or senior management
Connecting and negotiating with multiple professional travel vendors and build a long term association to suit different business needs
Planning and booking travel, accommodation for leadership and the whole organisation – as and when needed. This will include end-to-end services like flight and hotel bookings, Visa and immigration arrangements, travel insurance, Sim and data card arrangements, forex / local currency / reimbursement arrangements (cash/card), etc.
Overseeing the implementation of relocation policy as and when required (employee onboarding / post COVID) – includes booking travel, assisting with movers & packers and finding suitable accommodation for the employees and their families.
Managing emergency / last minute changes / cancellations in a professional and calm manner and should be able to deal with travel / people related problems, complaints or refunds
Coordinating with the Finance and HR team for travel related reimbursements as per company policy Managing day to day admin operations.
Responsible for creating and implementing systems and procedures for smooth and effective office administration across all locations
Creating and monitoring overall tasks for the Housekeeping staff across all locations
Owning end to end vendor management for various office supplies, employee onboarding kit and supplies during employee engagement activities
Collecting, verifying & documenting invoices to upload them on the HRMS tool
Maintaining hard copy of these POs and invoices as and when needed
Tracking the reimbursement process of these invoices to ensure timely and accurate settlement via HRMS / emails Managing EA duties for the management
Overseeing credit card bills, schedules, travel and accommodation for senior management and bifurcating personal vs official expenses within TAT
Ensuring timely documentation, filing and reimbursement for senior management related invoices within TAT
Proven 12+ years of work experience as an Admin with an expertise in Travel
Excellent interpersonal, time management, and organizational skills are a non-negotiable
Having superior verbal and written communication skills is extremely crucial as this role requires heavy interactions with key stakeholders and the leadership team
Ability to interact, communicate and negotiate effectively
Someone who is highly self-motivated, professional, and capable of managing their work-load and prioritizing tasks in a fast-paced agile environment
Excellent data management and filling skills
Ability to think on their feet and problem solve effectively with minimal supervision
Excellent knowledge of domestic and international travel trends
Prior experience and expertise with handling end-to-end travel and stay bookings (domestic and international) – for large groups is a must
Prior experience with handling end-to-end global leadership itineraries is a must
