Finance & Accounts Support
1. Accounting of Purchase
- Accounting of SGNA expenses
- Making entries in ERP post approval from the authorized.
- Submitting the supporting documents with authorization to finance.
- Prepare purchase order by verifying Proforma/Quote.
- Making product receipt & GRN and purchase invoicing with verifying the approved purchase price.
- Debit note/credit note in respective ledger account post Approval.
2. Teams expense Claim
- Facilitate timely submission of Claims
- Pass on to the Accounts after checking with approval
- Follow up with Accounts for Payment
3. GST
- Coordinating with GST consultant and GF India team for all four GST registration related transactions.
- Preparation GST working for Filing return as per the due date scheduled.
- Preparation of GSTR1 & GSTR2
- Quarterly ITC return filing (Job work)
- Reconciliation of RCM, GST 2B & GSR 3B periodically and follow with Vendor and customer on compliance.
4. Maintaining reports–
- Reconciliation of Ledger statement on monthly basis.
- Preparing and review of debtor ageing report with the concern for collection
- Weekly, monthly debtor ageing report review and submitting to bank and Auditors
- Keenly monitoring the collections with follow up on receivables as per due.
- Making settlement entries against invoice once the payment received/payment made.
- Vendor ageing report on weekly basis and review for payment.
- Monthly MIS preparation and review.
5. Inventory/Asset Management–
- Maintaining accurate inventory for the stock lying in all the godown in India against various project.
- Monthly Reconciliation of Inventory and presenting for review.
- Inventory ageing report preparation and alert the concern team on slow moving and non-moving stock.
- Collecting and documenting the stock confirmation letter from all the godown.
- Maintaining asset register and booking depreciation entries.
6. Month Closure Activity–
- Making sure the entries are completed as per the closure deadline.
- Preparation of Provision data sheet accounted in ERP post review.
- Preparation of Pre-paid data sheet accounted in ERP post review.
- Review of Trial balance before the closure.
7. Audit (Statutory, group, internal audits)–
- Keeping the supporting and approval supporting related to the transactions.
- Preparing audit schedules on Inventory and purchase samples.
- Maintaining stock report provided by warehouse with costing and stock transfer.
- Closing the audit while giving/clarifying all the supporting and queries raised by auditor.
- Ensuring compliance with policies and procedures.
- Investigating irregularities and errors.
GSS Samples support
8. Maintaining Samples Inward and Outward
- Responsible for Terova samples domestic and international.
- Sending samples from GF office to respective regions for lab analysis.
- Keeping a data for samples inward and outward details.
9. Handling Documentation process with DHL, FEDXX and other courier services which they required KYC documents for respective shipments.
10. Assisting the purchasing team in maintaining costing for standard product.
11. Responsible for keeping a track on regular data on day to day transactions in the system
