This is an exciting opportunity to join the Shared Services Operations (SSO) team as we continue to propel the business through continuous improvements.
Travel and entertainment (T&E) expenditures are often a significant business expense and organizations find it challenging to put an effective expense management system in place. Adobe is looking to strengthen the expense reimbursement process and thereby ensure 100% compliance & adherence to the Adobe T&E policy. The plan is to review the adequacy of internal controls over such T&E expenditures & work towards strengthening controls wherever found to be weak or ineffective, through the audit.What you’ll Do

The designate should be able to do the following activities, which includes (but not limited to)

• A strong, in depth understanding of the travel processes & practices in general & also adapt to Adobe business, T&E processes & Policy guidelines, including workflow for approval, recording expenses under right cost headings.
• Maintain the T&E Compliance program globally to ensure disbursements are compliance with policy, the Anti-Corruption & Foreign Corrupt Practices Act (FCPA) and SOX controls
• Being able to configure audit rules in Concur and Appzen to align with operations capacity and design and implement newer audit framework as required. To have an eye for details in identifying gaps in compliance & process
• Conduct Fraud analysis based on the audit rules and identify gaps, if any in Concur audit rules and recommend to the team to update rules.
• Review the Concur and AppZen configurations in alignment with the policy and update categories and rules as deemed necessary to be compliant.
• Understand the tax / accounting rules in different countries and align the configurations and policies accordingly. Work with stakeholders in payroll, accounting, and international tax teams if necessary.
• Maintain user groups, audit rules, expense categories for each user group, and ensure alignment to policies & risk
• Exhibit confidence in communicating in a variety of forums, sessions, formal presentations, training sessions and town halls
• Building relationships with businesses at all levels within the corporation will be a key success factor for this position
• Work with Technology, Finance, RAAS, SOX and Accounting teams and internal departments/divisions. Participate in Firm wide platform changes relating to Employee from a Travel & Entertainment Expense angle.
• Act as liaison with SAP Concur, AppZen and technical support. Advise and communicate all Service updates with new features and benefits of the product
• Develop and deliver training programs to the team and End-users
• Handle business and manage ad-hoc queries and requests, respond to business queries on a timely basis.
• Discuss with management, recommendations for improvement in controls or efficiencies of the processes as also recommend policy changes as needed.
• Craft a process for handling and responding to end user issues with the system, using services provided by SAP Concur wherever possible.
• Ensure that Monthly compliance audits are performed within the agreed SLA/TAT as per the Global & Local Spending Policies
• Ensure that process control framework checkpoints are followed and publish the critical metric reports as per the timelines
• To support in external/internal audits and adhoc data/reporting requirements
• Prepare and update SOP/documentation for the process
• Support & Work along with SME to drive the operations and projects

What you need to succeed

• Bachelor’s degree or equivalent a must MBA or equivalent strongly preferred
• 8-10 years of proven experience in Travel and Expense function and experience with Concur, Appzen and SAP systems
• ERP Knowledge, Implementation/Transformation experience on SAP CONCUR.
• Hands on experience in end-to-end GL activities, month-end activities (Accruals, Sub-ledger / ledger posting and reconciliations)
• Corporate Card Feed management/operation and handling payments is an added advantage
• Excellent oral/written communication skills, good knowledge of English in business context
• Strong analytical and interpersonal skills, ability to identify and articulate key business and financial implications.
• Ability to manage relationships involving diverse parties and adept at working with all levels of an organization.
• Forward thinking with the ability to assert new ideas / insights and follow them through
